A customer writes to [email protected]. Nobody checks that inbox for three days. By then, the customer has bought from someone else.
Email forwarding fixes this. It sends a copy of every message to the inbox you actually read, so nothing waits unseen.
What Email Forwarding Does
A forwarder takes mail sent to one address and passes it on to another address you choose.
Here is a simple example. Customers write to [email protected], and the message lands in your personal inbox, your manager’s inbox, or both.
It is useful because:
- You can publish role-based addresses like info@ and support@ without managing a separate login for each.
- A small team can share one address without sharing a password.
- You read everything in one place instead of checking several mailboxes.
If you do not have a professional address yet, start by registering a name on your own domain, because a forwarder only works on an address that uses it.
Two Types of Forwarders in cPanel
cPanel, the control panel on most hosting accounts, offers two kinds.
- Email account forwarder. Sends mail from one specific address to another address. This is the one most small businesses need.
- Domain forwarder. Sends every message for one domain to the matching address on a second domain. For example, mail to [email protected] goes to [email protected]. It is handy after a rebrand.
A domain forwarder applies only to addresses that do not already exist as real mailboxes, so existing mailboxes keep receiving their own mail.
How to Create an Email Account Forwarder
- Log in to cPanel
- Open Forwarders in the Email section
- Click Add Forwarder
- Type the part before the @ in the Address to Forward box, for example, sales.
- Choose your domain from the dropdown.
- Under Destination, choose Forward to Email Address and type the address that should receive the mail.
- Click Add Forwarder
To send to more than one person, separate the destination addresses with commas.
Does the Original Inbox Still Get a Copy?
It depends on whether a real mailbox exists at that address.
If [email protected] is a full mailbox, a copy stays there, and another copy goes to the destination. If the address is only an alias with no mailbox behind it, the mail goes to the destination alone.
This matters for storage. A forwarder to a different address does not empty the original inbox, so clear old mail from time to time.
A Warning About Forwarding to Gmail
Forwarding to a free provider such as Gmail is the most common setup, and it works. But it comes with a catch.
A forwarder passes on everything, including spam. When a lot of junk is forwarded, the receiving provider can start limiting your server or marking messages as suspicious. That leads to delayed or missing mail.
To reduce the risk:
- Forward only the addresses you actually need
- Keep your spam filtering switched on at the hosting level.
- Make sure your domain’s SPF record is set up correctly through your DNS settings.
- Consider reading business mail directly in a mail app instead of forwarding everything.
Replying So Customers See Your Business Address
Here is a detail many owners miss. Forwarding handles incoming mail only. If you reply from your Gmail account, the customer sees your Gmail address, not your business one.
Most mail providers let you send as another address. In Gmail, for example, you add your business address under the account settings and connect it to your hosting mail server. Once set, replies show your business name.
Test Before You Trust It
- Send a message to the forwarded address from a different email account.
- Check the destination inbox, including the spam folder.
- Reply and confirm the customer sees the right sender address.
- Review your forwarders every few months, especially when staff changes.
Remove forwarders to former employees straight away. Mail meant for your business should never keep flowing to someone who has left.
Make Sure Your Hosting Includes Business Email
Forwarders are only as dependable as the hosting behind them. HoganHost’s web hosting plans come with business email and cPanel, so you can set up addresses and forwarders in minutes.
